Supports: Plant Manager (Costa Rica) and COO (California)

Key Responsibilities

Financial Management

Oversee and reconcile Accounts Receivable, collections, Accounts Payable, and payroll processing
Approve wire transfers (entered by Plant Manager)
Close General Ledger accounts monthly (within 10 days), including accruals and reconciliations
Reconcile bank accounts and manage fixed assets, including depreciation schedules
Prepare monthly financial statements
Analyze monthly results and collaborate with senior leadership to identify anomalies and recommend corrective actions
Assist the Plant Manager in preparing annual budgets, including coordination with department heads
Ensure inventory accuracy; reconcile raw materials with open work orders and finished goods with outgoing shipments
Track and report inventory turnover rates
Calculate and compile monthly commissions by matching sales orders with active quotes; report variances to CFO
Provide commission reports to CFO (based on received payments) immediately following AR close
Prepare monthly cost accounting for completed jobs, verifying accuracy of production standards, purchase orders, and production reports
Maintain and manage Master Customer and Vendor databases, ensuring documentation is properly scanned and stored
Support internal, external, customer, and ISO audits
Serve as the internal expert for FM (FileMaker) and Excel-based reporting
Hire, train, and conduct performance reviews for accounting staff
Maintain strong relationships with local banks and CPA firms
Standardize and align local financial processes and reporting with the Corporate Office (California)

HR & Administrative Leadership

Support the Plant Manager in employee development initiatives
Conduct performance reviews for accounting personnel
Assist with recruitment, onboarding, evaluations, and terminations
Collaborate with HR to administer benefits programs (medical, dental, retirement, wellness)
Approve purchase orders as required
Ensure adherence to company policies and Costa Rican labor laws
Foster a positive workplace culture and support team-building activities
Standardize HR and administrative procedures in alignment with parent company policies

Operational & Safety Support

Submit quarterly TRIR (Total Recordable Incident Rate) safety reports
Participate in ISO, GMP, and 5S continuous improvement programs
Promote and enforce internal controls aligned with the parent company’s standards
Provide Excel-based financial and operational reports to the Plant Manager, CFO, and COO

Qualifications

Bachelor’s degree in Accounting, Business Administration, or a related field
Minimum 4 years of relevant experience, preferably in a manufacturing environment
Proven expertise in cost accounting
Advanced proficiency in Excel and familiarity with accounting systems
Strong organizational, leadership, and communication skills
Functional English required for coordination with U.S.-based teams
